Email disaster recovery

Most companies have only one email server running.  This is a single point of failure and can cause a loss of email service.  Any failure of power, internet connectivity, etc can cause remote systems to bounce email intended for your domain.

Using our spam filter service if your server is down at any time your mail is mail bagged on our servers until your server is able to receive email.  This provides offsite disaster recovery and prevents inbound email loss.  We currently hold your email for a default period of 4 days.  Please contact us about a custom mail bagging schedule in the event you need us to hold your mail longer.

How are we better than a backup MX service?

Some backup MX services offer mail to be held on their server in the event that your server is offline.  Generally speaking, these services provide no mail filtration.  Spammers will often send spam to your backup MX service anticipating that it will allow all email to be delivered.  These services do not have your userlist and will accept email for any user even if they do not exist in your domain.  This leads to a lot of invalid email deliveries, and bounced mail by your mail server.  Our service is different. 

We are more than just a backup MX service we can provide spam filter services and relay control for your domains as well.  We give each of our customers three different MX servers for their email delivery.  Each of these servers are full spam filter service machines.  All of your settings are managed through a single secure online account management interface, and we take care of distributing it across our cluster of spam filter servers.

Not all backup MX providers do what they claim

During the hurricane seasons of 2004-2005 many businesses in Florida were impacted by long term power outages.  Even though many had generators for backup power, fuel became scarce and many were forced to power down their servers.  During this time several of our current customers thought they were protected because they had backup MX services.

One backup MX provider turned off a customer's backup MX service because "they were using it too much".  Needless to say, the customer lost many days worth of email before they even knew their backup MX service was not backing them up. 

If you think your backup MX provider will hold ALL your email for a period of days, you had better check.  Many have clauses that if you use more than 100MB of storage space they reserve the right to start deleting email, even though it has not been delivered!

We have a different philosophy.  One of our customers needed us to mailbag their mail for over three weeks (24 days to be exact) due to Hurricane Katrina.  We not only held his email, but we also setup a webmail system so they could access email during a very difficult time for their business.  We will go the extra mile to help your business be a success.

Assign our servers as your secondary MX record with no filtration.  Some spammers will still try to deliver mail to us, so we still perform anti relay, user lookups (to prevent dictionary attacks), and IP RBL connection blocking.

Total email archival

Did you need all of your email archived for compliance or other reasons?
Contact us about our new solution for total email archival for small business customers.  Many small businesses think they can't afford to archive all incoming and outgoing email, but you can!

All inbound and outbound email is captured prior to any filtration being applied, but with the filtration tags intact for retention purposes.  Most organizations are allowed to set different retention policies for spam compared to normal business email.  The key is to have a policy in place, and uniformly applied across your company.  We can provide that solution for you.

Email is archived to our servers and is live and searchable for a period of 30 days.  After that period the email is still searchable, but is no longer live.  We pull the email to a DVD and send it to you for archival.  Each DVD comes complete with a search engine and message viewer for that archive.  Installation of all the DVD indexes to a single machine is also available to allow you to search all your email archives at once.

All email is stored in a RAW unmodified format.  The email containts the complete literal SMTP communication transaction that occurred between servers.  These files will be compressed on disk for storage savings, but may be released to their original state using the search engine.

Search is the key to email archival.  Most legal systems allow you thirty days for discovery and production of email in the event of a lawsuit.  Using our system you can search an archive of 5 million emails in less than one second!

The following search abilities are available:

  • Date / Time
  • From / To / CC / BCC fields
  • Subjects
  • Size of email
  • Attachments (filenames, or file extentions)
  • Mail archive location
  • Mail type (inbound or outbound)
  • Links in email
  • Content of email (limited currently to the first 25Kb of the message)
  • Mail status (tagged / deleted / bounced / delivered / etc)

After searching the email archive you may release the email back for delivery to the original recipient (disaster recovery / accidental deletion), or to another specified mailbox.  You may also save the emails out to a local storage solution for further analysis.

Total email archival retention policies

You are able to set retention policies using rule sets.  Email retention is key to compliance with regulatory requirements. 

Some example scenarios our customers have found useful:

  • Retain outbound email for 2 years
  • Retain inbound email not marked as spam for 4 years
  • Retain inbound email tagged as spam for 1 year

We leave the choice up to you how long you want to retain your email.
